An appointment made on the website also appears at reception. The doctor sees the information needed for the consultation, and the team can track payments, documents, and the steps that follow the patient's visit.
We built the solution to connect these stages into a single flow. The clinic can configure the rules it works by, from doctors' schedules to payments, documents, and notifications.
Appointments from reception, website, and WhatsApp
A patient can book an appointment at reception, on the website, from their account, or via WhatsApp. All channels use the same doctor's availability. If reception takes a slot, it no longer appears as free online.
The system takes into account working hours, time off, existing consultations, and the duration of the selected service. The clinic can configure a different schedule for each doctor.
When there are no remaining slots, reception can use a waiting list. If an opening appears, the team can see who is waiting for an appointment.
Reception sees what happens during the visit
The day's agenda shows more than consultation times. Reception can track where the patient is in the clinic flow, whether payment is pending, and whether the medical report has been completed.
From here, the team can also check the required documents, collected payments, and the services or tests recommended for a next step.
Payment rules suited to each doctor
The clinic can decide when to request online payment. For one doctor, it can be mandatory before the consultation. For another, it can be optional or unavailable.
When payment is required, the appointment gets a payment deadline. The patient can pay online or through a link associated with the appointment. Reception sees whether the amount has been paid in full, in part, or not at all.
Depending on the clinic's integrations, the information can go on to invoicing and fiscal recording.
Documents prepared from existing data
The system can generate the required agreements and documents using information already entered. The patient can sign them at the clinic, from their account, or remotely.
This way, the team does not have to fill in the same data in every document.
The medical report and the steps after the consultation
The doctor completes the report using templates configured in the application. They can add diagnoses, investigations, recommendations, tests, and services needed later. After signing, the report can be generated as a PDF and sent to the patient.
For certain specialties, the clinic can define rules for reviewing the report before it is finalized. The application can flag deviations from these rules, including through AI-assisted review. The doctor checks and finalizes the report.
Messages tied to each stage
Appointment confirmation, an upcoming consultation, an outstanding payment, or a cancellation can trigger SMS or email notifications. The clinic decides which messages to send and when.
The waiting list can also enter this flow. When a slot opens, the system can identify patients waiting for an interval with that doctor and send a notification.
Integrations between the systems the clinic uses
The solution can connect to payment services, SMS, email, WhatsApp, telemedicine, invoicing, cash registers, and laboratory catalogs.
For example, an appointment made via WhatsApp occupies the slot in the reception calendar. An online payment updates the appointment status. Invoice data can reach the service the clinic uses without reception entering it again.
Configured for the clinic's way of working
Each clinic has its own rules. In the application, doctors' schedules, service duration and prices, payments, report templates, and patient communication can be configured.
Some flows require specific development, such as connecting a laboratory, a payment processor, or adapting documents. We analyze them based on the process the clinic already uses.
Let's see how your clinic works
The solution is available as a license and can be adapted to the clinic's processes.
Show us how an appointment is made today, what happens on the day of the consultation, and what steps follow the visit. Together we can identify where the team enters the same data more than once and which stages are worth connecting.
